Zalando EPR Reactivation Checklist

Zalando Partner Program · EU packaging and battery EPR · Platform policy and legal duty covered separately · Reviewed 25 August 2026

Zalando EPR reactivation is a data-matching exercise, not a negotiation. Zalando’s current zDirect EPR instructions say that “all information must exactly match what was provided to the official registries” — so almost all of the work is reconciling three records that have drifted apart: your entry in the national registry, your details in zDirect, and the legal entity on your Zalando account.

One thing to settle before you start. Zalando does not publish a universal reactivation timeline, a universal list of documents, or an EPR-specific appeal process. What it publishes is a submission workflow, a set of statuses, per-country verification estimates, and a general support route. A fixed five-document list or a single promised turnaround should not be presented as Zalando policy.

JurisdictionEuropean UnionNational requirements may apply

The fast path. Identify which EPR stream and which country triggered the block. Confirm Zalando’s submission feature is actually live for that market. Pull your public registry record and copy it character for character into zDirect — legal name, number, supporting identifiers. Tick every required confirmation. Save, then watch the status. If the registry record itself is wrong, fix the registry first: resubmitting the same data cannot succeed.

Four things that are not the same thing

Start the diagnosis by keeping these four layers separate on paper before you change anything.

Layer What it means Who controls it
Marketplace evidence status Whether Zalando has collected and validated your EPR details. For packaging, zDirect shows Pending, Approved or Error. For battery submissions, a green check mark appears beside the task in your Onboarding dashboard once information has been successfully submitted and received Zalando
Producer-responsibility duty Whether you are legally a producer, in which Member State, and for which stream. Under the EU packaging rules and the EU Battery Regulation alike, registration is per Member State — there is no single EU-wide number EU law as implemented nationally
Registry or scheme status Whether your registration actually exists, is current, is publicly visible, and whether scheme participation is in order The national registry and the producer responsibility organisation
Restriction level Whether a specific assortment is blocked, a category suspended, or onboarding gated Zalando

An Approved status is not a compliance certificate, and a valid registration does not by itself lift a block — Zalando still has to collect and validate the details before anything reopens. Equally, a defect that lives in the national registry cannot be repaired inside Zalando. Knowing which layer your problem sits in tells you who can actually fix it.

Step 1 — Preserve the notice before you change anything

Recommended, not a Zalando requirement. Before you edit a single field, capture what you were told and when: the email or on-screen message, its date, a screenshot of the current status in zDirect, and the affected markets and categories. This preserves the original wording for any later support request.

Step 2 — Identify the stream, the country and the entity

Three variables decide everything downstream, and they do not travel together.

The stream. Packaging, batteries, electrical equipment and other national streams have different registries, different identifiers and different submission fields. Zalando’s Germany EPR guidance makes the point starkly: it tells partners selling there to hold a packaging EPR number, and separately the registration numbers issued by the EAR Foundation — the WEEE-Reg.-Nr. DE for electrical equipment and the Batt-Reg.-Nr. DE for batteries — and states that an electrical product containing a battery requires both. One article, three obligations.

The country. Registration is national. Under Regulation (EU) 2025/40 on packaging, producers register in each Member State; under Article 55 of the EU Battery Regulation, registration is also Member-State based. Zalando says the same in its own words: because the Battery Regulation is accompanied by national implementations, the EPR process may differ in each country.

The entity. The registered producer, the brand owner, the importer and the Zalando account holder can be different companies. If they are, no amount of retyping fixes the structure — establish which entity is the registered producer for that market and map your SKUs to that record.

Step 3 — Check whether the market is even open

Some blocks are Zalando’s constraint, not yours. For batteries, Zalando states that the technical implementation for the Netherlands and Portugal is on hold because an official public registry for all battery producers is not yet available, and that it is still working to clarify battery requirements for Norway. Nothing you submit reactivates those markets.

For packaging, Zalando published a specific availability list: submission became available on 12 August 2026 for Belgium, Croatia, Denmark, Estonia, Finland, Greece, Hungary, Lithuania, Luxembourg, Poland, Slovakia and Sweden, with Germany, France and Spain already supported. Other countries were stated to follow.

Step 4 — Understand which kind of block you have

Type A

Category-wide suspension

Nothing about your data is wrong. Zalando states that in Q3 2025, due to compliance constraints, it implemented a temporary suspension of battery-containing articles, and that the suspension will be lifted once it is able to collect and validate partners’ EPR details. A zDirect feature to submit those details opened in January 2026 and was rolled out in phases.

Action: submit, in each market where the feature is live. There is nothing to appeal. Details in our Zalando battery EPR reactivation guide.

Type B

Failed or unmatched submission

You submitted and it did not validate. For packaging, Zalando defines Error as incomplete or mismatched data. The identifier fields are sensitive to stray spaces, and required confirmation boxes must be ticked.

Action: reconcile against the public registry record and resubmit. Our packaging EPR verification guide walks the field-level detail.

Type C

Nothing submitted yet

During onboarding, Zalando pre-checks whether the EPR ID has been entered in zDirect and the Onboarding Manager follows up if it has not. Separately, Zalando has stated that assortment will be blocked from 1 January 2027 where required packaging EPR details are not provided.

Action: complete the submission ahead of the date rather than after a block.

Type D

Registry-side defect

Your Zalando entry is right and it still fails, because the source record is wrong, incomplete, or names a different legal entity.

Action: correct the registry first. In this branch the fix is outside Zalando and can be mistaken for a platform bug.

Step 5 — Validate the number and the legal-name match

Work from the public registry record on screen, following Zalando’s country-by-country field guidance, not from a spreadsheet, an invoice or memory.

  • Legal entity name — character for character as registered, including legal-form suffixes and punctuation. A name that differs from your Zalando account name is a real mismatch, not a formatting quibble.
  • Registration number — exactly as issued, with no reformatting and no added or removed spaces.
  • Country and category — a number issued for one country or one packaging category will not validate against another.
  • Supporting identifiers — where the country’s form asks for a company or commercial-register number, VAT or tax ID, verify each value against its source record before submission.
  • Confirmations — tick every required box. For battery submissions in several markets, Zalando shows a box confirming your products comply with the EU Battery Regulation in that country; an unticked box is an incomplete submission.
  • Supplier branch — zDirect asks whether you self-produce or import, buy from suppliers established in that market, or both, and the fields change accordingly. The wrong branch produces the wrong form.

If the registration is new, it may simply not be visible yet. Germany’s packaging register publishes that a new entry may not appear in the public register immediately, as the public register updates daily. Waiting can be the correct action. Registering a second time to “force” visibility creates a duplicate record and a worse problem.

Step 6 — Correct in zDirect and resubmit only matched evidence

Zalando’s documented submission path runs through Settings and the Business profile. New or expanding partners are offered a task to submit their EPR details; live partners manage existing details through the EPR widget. Work country by country and category by category — the interface changes with the market and the branch you select.

Resubmit only after every field matches its source. Submitting again with the same unmatched data simply repeats the failure and adds noise to any later support conversation.

Step 7 — Monitor the status, and expect it to take time

For packaging, Zalando says zDirect displays Pending while validation is in progress, Approved when the data matched, and Error where it is incomplete or mismatched. For battery submissions, a green check mark appears against the task in your Onboarding dashboard once the information has been successfully submitted and received.

There is no published universal reactivation time. Zalando states plainly that the process is not immediate, and publishes estimates of the time required for data refresh and verification per country and per category. Check the estimate for your specific market rather than assuming a number — and treat any third-party claim of a fixed turnaround with suspicion.

Step 8 — Escalate with a complete evidence pack

If the market is open, your data matches the registry, and the status has not moved within the estimate published for your country, escalate.

Zalando’s documented route is Partner Care through the support form: select the topic and the request type, write in English, and use the request overview to track all communications with Partner Care specialists. An AI assistant, Partner Assistant, is offered for general questions.

There is no EPR-specific appeal process published. This is the general support channel, and framing your message as a factual reconciliation request rather than a dispute will serve you better.

What to include — recommended, not required

Zalando does not publish a required evidence list for EPR escalation. The following is evidence-led preparation mapped to the failure modes Zalando documents:

  • The original notice or status message, with its date
  • Affected market, product category and EPR stream
  • A screenshot of the current status in zDirect
  • The public registry record, showing legal name and number as published
  • The visibility date, if the registration is recent
  • Supporting identifiers as held at source — company or commercial register, VAT or tax
  • Scheme or producer responsibility organisation participation evidence, where the market requires it
  • Which supplier branch you selected, and supplier records where you buy from suppliers established in that market
  • SKU-to-record mapping where brand, importer, supplier and account holder differ
  • Submission timestamp and the exact text of any error returned

Common failure patterns

Pattern Where it actually lives What resolves it
Stray space or altered punctuation in an identifier zDirect entry Retype from the registry record
Registered legal name differs from the account name Entity mismatch Establish which entity is the registered producer; align records
Number belongs to a different country or category Wrong record selected Obtain the correct national registration
Wrong supplier branch chosen zDirect form logic Reselect the branch matching your supply chain
Required confirmation box not ticked Incomplete submission Complete every confirmation, including battery compliance boxes
Not all suppliers added Incomplete submission Add each applicable supplier record
Registry entry not yet publicly visible Registry timing Wait for publication — do not re-register
Registry record wrong at source National registry Correct the registry, then resubmit
Assuming one EU-wide EPR number Legal misunderstanding Register per Member State
Packaging number offered against a battery requirement Stream confusion Obtain the correct stream’s registration
Battery article attributes not populated Article data Complete the attributes required for battery-containing articles
Chasing a market Zalando has paused Platform constraint Nothing seller-side; monitor Zalando updates

When outside help is worth paying for

A seller may be able to complete the corrections without outside help. Outside help earns its cost in narrower cases: you need registrations across many markets and streams at once; you are not established in the country and need representation; your producer status is genuinely unclear because of how your supply chain is structured; or a registry record needs correcting in a language and system you do not operate in.

What no provider can do. Nobody outside Zalando controls the validation queue or the outcome, and nobody can reactivate a market whose technical setup Zalando has paused. Treat guaranteed reactivation, guaranteed timelines or “we handle Zalando for you” claims as a reason to ask harder questions. What you are buying is registration and correction work, not a platform decision.

Frequently asked questions

How long does Zalando EPR reactivation take?

Zalando does not publish a universal figure. It states that the process is not immediate and provides estimates of the time required for data refresh and verification per country and per category. Check the estimate shown for your market rather than relying on a general number.

What documents does Zalando require to reactivate an EPR block?

Zalando does not publish a universal required-document list for reactivation. What it does require is that the information you submit exactly matches what was provided to the official registries. Preparing the registry record, the legal entity name, the registration number and any supporting identifiers covers the failure modes that are actually documented.

Is there an appeal process for an EPR block?

No EPR-specific appeal route is published. The documented channel is Partner Care through the support form, where you select a topic and request type and can track all communications in a request overview. Present the registry record, submitted values and status so support can compare the same evidence.

My data looks right and it still fails. What now?

Check whether the defect lives in the registry rather than in Zalando. If the source record is wrong, incomplete, or names a different legal entity, correct it at the registry first; an identical resubmission gives Zalando the same mismatch. Also check whether a recent registration has become publicly visible yet, since some public registers update on a daily cycle.

Why can I not submit battery EPR details for the Netherlands or Portugal?

Zalando states that the technical implementation for both markets is on hold because an official public registry for all battery producers is not yet available, and that it is separately working to clarify battery requirements for Norway. Correcting seller-entered fields cannot remove that stated platform-side constraint.

Does one EPR registration cover the whole EU?

No. Under both the EU packaging rules and the EU Battery Regulation, producers register in each Member State where they place products on the market. Zalando reflects this too, noting that national implementations mean the EPR process may differ by country.

Does an Approved status mean I am legally compliant?

No. An Approved status means Zalando matched your submitted details against the applicable registry. Your legal obligations are set by EU and national law, and a platform status is not a compliance certificate.

My product is electrical and contains a battery. Is one registration enough?

Not necessarily. Germany is the clearest published example: Zalando tells partners that an electrical product containing a battery requires both the WEEE and the battery registration issued by the EAR Foundation, alongside the packaging obligation. Check each stream separately for each market.

XrdaGrid publishes general information about marketplace and regulatory documentation. This is not legal or EPR compliance advice, does not determine which producer obligations apply to your business, and does not promise that any assortment will be reactivated, that any submission will be validated, or that any escalation will succeed. Zalando’s requirements are set by Zalando; your legal obligations are set by EU and national law. The recommendations above are identified as recommendations and are not Zalando requirements.
