Marketplace SDS Requirements by Platform

Marketplace SDS requirements are not universal. TikTok Shop, Amazon FBA, and Walmart WFS each apply their own document rules and review workflow. A Safety Data Sheet accepted by one platform can be rejected by another for a policy reason that has nothing to do with the underlying chemistry.

This guide is a routing hub. It separates US law from marketplace policy, compares the requirements that each platform publishes, and points you to the next useful step without treating one platform’s rule as everyone else’s.

Three different things get called “the SDS requirement”

  • US law: OSHA’s Hazard Communication Standard governs workplace and supply-chain hazard communication. It addresses who prepares and transmits an SDS and the section headings used in the document. It is not a marketplace listing policy.
  • Marketplace policy: each platform adds its own conditions, such as exact product matching, file mechanics, upload paths, and review procedures. Those conditions differ among platforms.
  • Seller workflow: the operational steps inside Seller Center—declare the product, answer a questionnaire, upload or link the requested document, wait for review, and correct any problem the platform identifies.

The boundary runs both ways. A document that satisfies the applicable OSHA duties can still fail a marketplace review because the listing, brand, language, link, or product details do not match. Marketplace acceptance is also not a regulator’s finding that the product or document complies with law.

“Not confirmed publicly” does not mean that Amazon has no rule. It means the detailed US Seller Central pages were login- or JavaScript-gated during this review, so their contents were not treated as independently verified public evidence.

TikTok Shop US

TikTok Shop’s US Seller University publishes detailed SDS conditions. These are TikTok platform requirements, not a substitute for reading federal law.

TikTok states that it may require an SDS for products containing harmful or potentially hazardous chemicals even when special hazmat shipping labels are not required. The document must match the exact formulation, SKU, and packaging and reflect the product as sold. The platform says not to upload a generic, self-made, or similar-product sheet.

The reviewed TikTok guide calls for a 16-section GHS document in the official language of the market. It also expects the product name, manufacturer or supplier details, emergency contact information, hazard classification, ingredients, transport information, and preparation or revision date to be consistent with the listing and product label.

Lithium-battery warning: two current official US pages use different wording. One says a UN38.3 test report is accepted instead of an SDS; the other says sellers must also upload the UN38.3 report. Do not guess which interpretation applies to your item. Follow the document request shown for that listing in Seller Center and keep both documents available when possible.

If the problem is specifically a TikTok rejection, use the detailed guide to understand why TikTok Shop rejected your SDS.

Amazon FBA US

Amazon’s readable public US guidance confirms a narrower set of facts than many seller blogs claim. When creating or converting an FBA listing, sellers provide dangerous-goods information so Amazon can classify the item. Amazon may then require an SDS or an exemption sheet. The requested document is submitted through the Manage Dangerous Goods Classification workflow and reviewed by Amazon’s dangerous-goods team.

The public Amazon guidance does not support publishing a universal US rule for document age, maximum file size, review turnaround, or submission deadline. Detailed Seller Central help pages existed but did not expose readable policy text without the signed-in application. Amazon-hosted documents from Singapore, other regions, or the separate Amazon Shipping program were not used as evidence for US FBA.

Therefore, treat claims such as “Amazon US automatically rejects every SDS older than five years” as unverified unless the current requirement appears in your own Seller Central workflow. Check the ASIN in Manage Dangerous Goods Classification and respond to the document type and fields Amazon requests there.

Walmart WFS

Walmart’s published SDS workflow is scoped to Walmart Fulfillment Services. An item that meets Walmart’s definition of a chemical, aerosol, pesticide, or specified battery can require an SDS during item setup.

The sheet must be specific to the product and brand, supplied as an English PDF with all 16 sections, and shared through a public link that reviewers can open without a password or login. Battery model, physical state, UN number, manufacturer, and other item details need to match the listing. If a kit or bundle has more than one hazardous component, Walmart instructs sellers to provide documentation for each component and combine the documents as directed.

For specified categories that are exempt from the SDS requirement, including certain foods, drugs, cosmetics, personal-care items, and medical testing products, Walmart may ask for a label image instead. The image must show the relevant ingredients and warnings. Submit the document type requested for the item rather than both by default.

Walmart says hazardous-material WFS reviews can take up to three business days. That is a platform review window, not an approval guarantee and not a legal safe harbor.

Confirmed rejection and review problems

The following causes come from the reviewed platform guidance. Neither platform says which cause is most common.

  • TikTok Shop US: fewer than 16 sections; a generic, self-made, or mismatched document; missing or unreachable emergency contact details; hazard information that conflicts with the listing or other documents; no revision date; or the wrong market language.
  • Walmart WFS: an inaccessible or password-protected link; a different brand or product; physical-state or UN-number mismatch; missing documentation for a hazardous component; incomplete or blank pages; or incorrect battery details.
  • Amazon FBA US: Amazon’s public guidance stresses complete and correct dangerous-goods information, but the detailed US rejection specifications were not publicly readable during this review. Use the status and request shown for the ASIN.

Which path applies to your product?

  1. Identify the platform and fulfillment program. TikTok Shop, Amazon FBA, and Walmart WFS do not share one SDS workflow.
  2. Read the exact request. Determine whether it asks for an SDS, exemption sheet, label image, UN38.3 report, or additional product attributes.
  3. Check the exact-product match. Compare the product name, brand, SKU or model, formulation, packaging, physical state, battery details, and transport information against the listing.
  4. Use the platform-specific route. TikTok uses its product-document workflow, Amazon uses Manage Dangerous Goods Classification, and Walmart WFS uses its item-setup and shareable-link fields.
  5. Do not import a rule from another region or program. A Singapore Amazon document, for example, does not establish Amazon US FBA policy.

What to do now

Work in this order. The first five steps normally cost nothing.

  1. Capture the exact platform message. Save the requested document type, listing identifier, and any stated correction reason.
  2. Check file mechanics. Confirm that every page is present and legible. For Walmart WFS, make sure the PDF link opens without a password or account.
  3. Check the substance of the match. The document must describe the product you actually sell and must not contradict listing attributes or declared hazard answers.
  4. Ask the manufacturer, importer, or supplier for the current exact-product sheet. OSHA has transmission duties within covered workplace supply chains, but a marketplace seller’s request rights depend on its actual role and relationship. Ask first; do not alter a supplier’s SDS yourself.
  5. Ask the responsible party to correct a real defect. A corrected source document is safer than patching a PDF or borrowing a sheet for a similar product.
  6. Use paid authoring only when justified. If no defensible exact-product SDS exists and preparing one is genuinely your responsibility, compare correction and SDS authoring options.

Frequently asked questions

Do all marketplaces require an SDS?

No. The requirement depends on the platform, fulfillment program, product, and the document request shown for the listing. Some platforms ask for an SDS or alternative document; others restrict certain hazardous products instead.

Does an SDS accepted on one platform work on another?

Not automatically. Platforms apply different product-match, file, link, language, and submission rules. Acceptance by one marketplace is not evidence that another will accept the same file.

Do Safety Data Sheets expire for marketplace listings?

There is no universal marketplace expiration date. OSHA sets no general calendar expiry for an SDS, and the readable US platform sources reviewed here did not establish one cross-platform maximum age. Follow the current requirement for the specific listing.

What is the difference between a marketplace SDS requirement and OSHA’s rule?

OSHA’s Hazard Communication Standard governs workplace and supply-chain hazard communication. A marketplace requirement is a platform condition for listing or fulfillment. Satisfying one does not prove that the other is satisfied.

Can I use a generic or similar-product SDS?

Do not use one. TikTok requires an exact match, and Walmart WFS requires product- and brand-specific documentation. A mismatch is a documented review problem on both platforms.

What do I upload for a product containing a lithium battery?

Follow the request shown by the platform for that listing. On TikTok Shop US, two current official pages conflict on whether UN38.3 replaces or supplements the SDS, so the Seller Center prompt should control your submission.
